Mastering Project Management on Symba 🚀

Projects are essential tools for collaboration and execution within your organization. Admins have comprehensive control to create, assign, and monitor projects, ensuring progress and completion across teams.


Creating a New Project 📝

Permissions: Both Admins and Managers can create, assign and manage projects.

  1. Start a Project:

    • Click "New Project" at the top right.

    • Enter the project title, due date, and a compelling description. Crafting a clear and detailed project description sets expectations and guides your team effectively.

  2. Add Tasks and Resources:

    • After submitting the initial details, add individual tasks to the project. Each task can include a description up to 500 characters, clarifying the task’s requirements.

    • Attach necessary resources or documents as files or links to assist in project completion.

  3. Assign Users:

    • Click “Assign a new user” to select and assign project participants. Search by name or other criteria to find the right team members for the task.


Monitoring Progress 📊

  • Track Completion: As users work on their tasks, you can view their progress and status—whether they’re in progress, stuck, or have completed their tasks.

    • The creator of the project will get an email and in app notification if one of their assignees has indicated they are "stuck" on a project.

    • When the assignee indicates they are stuck, they will be prompted to enter a message to let the project owner know what they are stuck on.

    • The project owner will then receive an email and in-app notification that their assignee is stuck.

    • Notifications will happen every time an assignee indicates they are stuck even if they have previously indicated they were stuck and it was resolved.

  • Review Submissions: Access and review project submissions by clicking on the submission link provided by the users.


Recommendations for Project Descriptions 📌

  • Be Specific: Clearly define the project scope, objectives, and expected outcomes.

  • Be Concise: While detail is valuable, conciseness is crucial. Keep descriptions under 500 characters to ensure clarity and focus.

  • Encourage Engagement: Motivate your team by explaining the project's impact and its importance to the organization’s goals.


Notes on Permissions and Roles

  • Admins: Only admins can create, assign, and view all projects across the organization.

  • Managers: Managers can create and assign new projects and view their completed projects.

  • Users: Regular users can view and work on projects specifically assigned to them.

  • Regular Updates: Keep your team engaged and informed by regularly updating project details and statuses.

  • Feedback Loop: Encourage feedback on projects to refine processes and improve future project planning.

  • Visibility: Ensure that all project participants have clear visibility and access to necessary resources for their assigned tasks.
