Mastering User Management on Symba đŸ§‘â€đŸ’»

Efficiently manage user data across your organization using the "Manage Users" section on Symba. Here’s how you can add, edit, and manage user details, all from a centralized location.

Accessing Manage Users

There is one centralized location for viewing and managing all user accounts within your organization.

  • Navigate: Click the dropdown next to your profile picture in the top right corner and select “Manage Users”.

  • View: You’ll see a list of all users across your organization with a Symba account.


Adding New Users

Introduce new users into your system, either individually or in bulk, to ensure they receive appropriate access and resources. Upon adding users, they will immediately receive an email with their login credentials for Symba.

Required Fields:

  • First Name

  • Last Name

  • Email Address (personal or work)

    • At least one email is required to create a user account. For pre-participants, participants and alumni user types, a work email address will be required in order for it to automatically switch over to their work email on their respective start date.

  • Department

    • Be sure the departments have been set up ahead of time before adding users. If you haven't set up your departments, visit the Admin Onboarding Guide to Symba for more information.

  • Group

    • Add groups to organize your users.

For adding a Few Users:

  1. Add Users: Click “Add Users”.

  2. Enter Details: Fill in the required fields:

    • First and Last Name (required)

    • Email Address (required)

    • User Type (required)

    • Optional fields include Race, Gender, University, Mobile Number, Start/End Dates, and more related to job/internship offers.

For adding Many Users:

  • Review and Confirm: Ensure all fields match and confirm the upload to complete the process.

Pro Tip 💡 Data Accuracy: Double-check all entries for accuracy before submitting to avoid errors and data inconsistencies.


Editing User Information

Modify existing user information or adjust user assignments to keep profiles up-to-date with current roles and responsibilities.

  1. Find and select the user to edit.

  2. Click the three dots and select the edit option and make necessary changes.

  3. Save the updates by clicking "Submit".

Bulk Edits and Updates

Efficiently apply changes to multiple user profiles, such as adjusting start/end dates or changing assigned Launchpads.

  • Bulk Editing

    1. Select Users - Use the check boxes on the left to select the users whose information you want to update.

    2. Choose Edit Option: Select the appropriate bulk action, like Edit Start & End Dates, Change Department or Assign More Groups

    3. Apply and Save: Make the changes and confirm by saving.

  • Bulk Updating Users: To update various details like manager assignments, download the latest user list from Symba, modify the .csv as needed, and upload it using the "Upload Revised Users" button at the top right. Be sure that the User ID, Work Email and Personal Email are kept in the sheet, as these are key identifiers that the system will use to make the requested changes.

Pro Tip 💡: Regular Updates - Keep user information up-to-date to ensure smooth operation and accurate reporting.


Deactivating Users

  • Individual Deactivation: Click the three dots and select "Deactivate User".

  • Bulk Deactivation: You can use filters and select multiple users, then click the "Deactivate" button.

Note: Once a user is deactivated, they will be removed from your "Manage Users" section. If you've accidentally deactivated a user, need to reinstate someone or need to review a list of deactivated users, please reach out to support@symba.io with your request.


Common Challenges and Troubleshooting

  • Adding Users Mid-Period: Remember that users can be added anytime but will follow the existing data structure, including any set delays in task assignments, automated journey assignments (i.e. if a journey, survey, project etc. is attached to a launchpad, new users will be enrolled right away.)

  • Updating Bulk Data: Ensure that "user_id" is included in your spreadsheet to accurately match and update user records.
